Administrative Accounting Assistant
Reports directly to the CFO and plays a vital, integrated role in the day-to-day operations of the Foundation Office — handling administrative duties, accounting support, and assistance to the Development team as needed. A high degree of professionalism, tact, and diplomacy are required.
Key Responsibilities
- Perform administrative functions including scanning documents, data entry, and office supply orders
- Prepare correspondence and related documents
- Maintain accurate and organized files and records
- Assist with creation and assembly of documents for distribution
- Provide support for special events, projects, and communications
- Accounting support: receive, enter, and submit invoices for processing and payment; account coding of bank and credit card statements
- Monthly expense tracking for corporate credit cards
- Assist in managing office operations and maintaining office equipment
Required Qualifications
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams)
- Highly organized with extreme attention to detail and ability to meet deadlines
- Excellent verbal and written communication skills
- Strong independent problem-solving and time management skills
- Ability to handle confidential and sensitive information appropriately
- High degree of professionalism, integrity, and strong interpersonal skills
- Comfortable managing multiple projects and deadlines simultaneously
Preferred Qualifications
- Bachelor’s degree
- 2–3 years of professional experience, preferably in administrative support
- Interest in the mission of Pennington Biomedical Research Center
- Experience with Raiser’s Edge NXT
